Privacy notice

This notice explains what personal information The Discipline of Play collects when you use disciplineofplay.com, why we collect it, how we look after it, and the choices and rights you have.

The site has no accounts or sign-ins, so we collect very little: only what you choose to give us, what you allow through our cookie banner, and the basic technical information every website needs to work.

Who we are

The Discipline of Play is part of Coachwise Ltd, a company registered in Scotland (company number SC699752), whose registered office is at Oliver, Tweedsmuir, ML12 6QN. Coachwise Ltd is the controller of the personal information described in this notice, which means we decide how and why it is used. In this notice, “we”, “us” and “our” mean Coachwise Ltd.

What we collect and why

We don’t sell your personal information, we don’t use it for advertising, and we don’t make decisions about you by automated means.

Newsletter

If you sign up for our newsletter, we collect your email address (and your name, if the form asks for it and you choose to give it). We also record the date and time you signed up and which sign-up form you used, for example the one on the home page, so we can see which pages lead people to subscribe. We use this to send you the newsletter. Our email service, Kit, also tells us whether each email is opened and which links are clicked, and we use this to improve the newsletter. You can unsubscribe at any time using the link at the bottom of every email.

Messages you send us

If you use our contact form or email us, we collect your name, your email address and whatever you choose to tell us. We use this only to read and reply to your message and to keep a record of the conversation. Please don’t include sensitive information, such as details about your health, unless you need to.

Website statistics

If you accept analytics cookies, we use Google Analytics to understand how the site is used: which pages are visited, how people arrive (for example, from a YouTube video), the type of device and browser, roughly where visitors are (country and city, worked out from the IP address, which Google Analytics does not store), and whether they go on to visit Coachwise.co. Google Analytics doesn’t give us your name or contact details, and we don’t try to identify you. We have not turned on Google’s advertising features or Google Signals. If you don’t accept analytics cookies, Google Analytics doesn’t run.

When you follow a link from this site to Coachwise.co, a short code is added to the web address so that, if you have accepted analytics cookies on both sites, your visit can be counted as one journey. This shows us whether the two sites work well together.

Your cookie choices

When you make a choice in our cookie banner, our consent tool, CookieYes, saves it in a cookie on your device so you aren’t asked again on every page. It also keeps a record of your choice, with a random ID, the date and time, and an anonymised version of your IP address, so that we can show we asked. Our Cookie policy has the details.

Keeping the site running and secure

Like almost every website, our hosting provider, Hostinger, automatically records basic technical information when your device requests a page: your IP address, the page requested, the date and time, and your browser type. These server logs are used to keep the site working, to fix faults and to protect it from attacks.

Videos and links to other services

Our videos are hosted on YouTube. An embedded video doesn’t load YouTube’s player until you press play. When you do, your device connects to YouTube, and Google may collect information and set cookies under its own privacy policy. If you’d rather it didn’t, you can leave the video unplayed.

Links to our pages on YouTube, Instagram, TikTok, Facebook and Threads are plain links: nothing is shared with those services unless you follow one. Once you do, their own privacy policies apply.

Our lawful bases

Data protection law requires us to have a lawful basis for each use of your information. Ours are:

  • Newsletter: your consent, which you give when you sign up.
  • Website statistics: your consent, which you give by accepting analytics cookies in the cookie banner.
  • Replying to your messages: our legitimate interest in answering the people who write to us.
  • Server logs and security: our legitimate interest in keeping the site working and secure.
  • Records of your cookie choices: our legal obligation to be able to show that we asked for your consent.

Where we rely on consent, you can withdraw it at any time. This doesn’t affect anything we did before you withdrew it. Where we rely on legitimate interests, we have weighed them against your interests and rights, and you can object (see Your rights, below).

Who we share it with

We use a small number of trusted service providers, who handle your information on our behalf:

  • Hostinger, which hosts the website and its server logs on servers in the United Kingdom, with backups stored in Germany.
  • Google, which provides Google Analytics, only if you accept analytics cookies.
  • Kit, which stores our newsletter list and sends the newsletter.
  • CookieYes, which provides our cookie banner and keeps records of cookie choices.
  • Fastmail, which provides our email, including messages sent through the contact form.

They act on our instructions under contracts that require them to keep your information secure and to use it only to provide their services to us.

We may also share information when the law requires it, to protect our legal rights, or with professional advisers such as lawyers and accountants. If The Discipline of Play or Coachwise Ltd were ever reorganised or sold, your information could pass to the new owner, who would have to use it in line with this notice.

Transfers outside the UK

Some of our providers, including Google, Kit and Fastmail, are based outside the UK or store information in other countries, such as the United States. When this happens, we make sure the transfer is protected as UK law requires: for example, because the country has been found to protect personal information adequately, because the provider is certified under the UK Extension to the EU-US Data Privacy Framework (the “UK-US data bridge”), or because the ICO’s International Data Transfer Agreement or Addendum is in place. Contact us if you’d like more detail.

How long we keep it

  • Newsletter: for as long as you are subscribed. If you unsubscribe, we keep your email address on a “do not contact” list so we don’t email you again by mistake.
  • Messages: for up to two years after our last exchange, unless we need them for longer to deal with a legal claim.
  • Website statistics: Google Analytics deletes information linked to individual visits after 14 months. We may keep overall reports, which don’t identify anyone, for longer.
  • Records of cookie choices: for one year.
  • Server logs: kept by our hosting provider, Hostinger, for a limited period to keep the site secure. We can see only the most recent seven days.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to restrict how we use your information;
  • object to our use of your information where we rely on legitimate interests, and object at any time to direct marketing such as the newsletter;
  • ask for information you gave us with your consent in a format you can reuse elsewhere; and
  • withdraw your consent at any time.

To use any of these rights, contact us using the details below. There is usually no charge. We may need to confirm who you are, and we will reply within one month. If your request is complex, we may extend this by up to two further months, and we will tell you if we do.

Children

This site is written for adults. We don’t knowingly collect personal information from children under 13. If you are under 13, please don’t sign up for the newsletter or send us a message. If you think a child has given us their information, contact us and we will delete it.

Keeping your information safe

The whole site uses an encrypted (HTTPS) connection. We keep the site’s software up to date, limit access to the people who need it, and choose providers with strong security. No website can be completely secure, but if something does go wrong, we will act quickly and tell you and the ICO where the law requires us to.

Changes to this notice

We will update this notice when we change what we do with personal information. The date at the top of the page shows when it was last updated. If we make a significant change, we will also tell newsletter subscribers.
